ClearParcels Privacy Notice (report reservations)

1. Who we are

ClearParcels runs clearparcels.com. ClearParcels LLC, a Tennessee limited liability company ("ClearParcels", "we"). Contact: Office@clearparcels.com. Postal address: 116 Agnes Rd, Ste 200, Knoxville, TN 37919.

ClearParcels is an independent service. We are not a government office and are not affiliated with the Shelby County Trustee or the City of Memphis. We do not take tax payments. You pay your city or county directly.

2. What we collect when you reserve a report

• The parcel ID you enter (one Memphis or Shelby County, Tennessee parcel per reservation).
• If you enter a property address instead of a parcel ID: that address. We use it only to suggest a parcel ID. We do not keep what you type in the search box unless you reserve or send us a request.
• The property address you checked.
• Your email address.
• The time of your reservation.
• A security check result. If the form uses a bot check (Cloudflare Turnstile), Cloudflare processes technical data about your browser and connection to tell people from automated traffic. We do not store the check token.
• Technical data. Our form host, Netlify, records the IP address and browser details sent with your form, together with your reservation. We use them only to limit misuse of the form.

If you ask us to check an address we could not find, we keep your email and that address to answer you and, if we can, do the check. If you do not reserve, we delete them within 90 days. To have them deleted sooner, email us.

If you email us, we keep your email and what you send, such as an address or parcel ID, to answer you and do the check you asked for.

We do not ask for your name, a card, a bank account, a login or password, or an SSN, ITIN or EIN. No payment is taken when you reserve.

3. Public records we read for your report

To prepare your report, a person on our team runs a check of the public tax sites of the Shelby County Trustee and the City of Memphis for your parcel, from a computer located in the United States, and reviews the report before we send it. Those sites see the request as they would see any visitor. We never give them your email address.

If you enter a property address, we suggest a parcel ID by comparing your address with address data published by the Shelby County 911 District. We keep the District's data on our own systems. We do not send your address to the District or to anyone else to do this.

As you type a street address, we may show matching addresses from that data. We use what you type only to find those addresses, and we do not keep it unless you reserve or send us a request.

Public tax records can show an owner name. Our system drops owner names when it reads the record. We do not store, log or show owner names from public records, and we do not ask you for an owner name.

4. How we use your information

• To prepare your report and email it to you.
• To email you a payment link when your report is ready, and to contact you about this reservation.
• To prevent misuse of the form (one parcel at a time; no automated or bulk use).
• To meet legal, tax and accounting duties.

We do not send you marketing email unless you agree to it separately. If you agree, every such email lets you opt out. We do not sell your personal information, and we do not use it for targeted advertising. On our pages we use Cloudflare Web Analytics to count visits and see which links brought people to the site. It sets no cookies and does not identify you. There are no advertising trackers on our pages.

We count how many visitors reach certain steps on our site, such as checking a parcel or submitting a reservation, and broadly where they came from (for example, a search engine or one of our emails). We keep only daily totals of these counts, and they do not include your name, email, address, parcel ID or IP address. Separately, our site uses Cloudflare Web Analytics to count page visits; it does not use cookies.

5. Who we share it with

Only service providers that help us run the service, for that purpose:

• Our website host, Netlify, receives the reservation and keeps the temporary 7-day copy in its storage service (Netlify Blobs).
• email (Google Workspace, which sends our emails and receives email sent to Office@clearparcels.com);
• Cloudflare (bot check, if used), and Cloudflare Web Analytics (visit counts);
• a US cloud computing provider (the computer that reads the public tax sites);
• our mailbox provider for Office@clearparcels.com.

If you later choose to pay, payment is handled on the hosted page of our payment processor. We may disclose information if the law requires it.

6. How long we keep it

• Form data held by Netlify (the parcel ID, the property address, your email address, the time, your IP address and browser details): deleted with your reservation, as below.
• After you reserve, we also keep a temporary copy of your property address, parcel ID, email address, order number and the time of your reservation for 7 days, so we can show your confirmation page. We then delete it automatically.
• Reservations that are not paid, with the email notice of the reservation and our working files for it: deleted 30 days after we email the payment link. A reservation we never fulfill is deleted 30 days after it was made.
• Paid orders: we keep the order record (parcel ID, property address, email, times, amount, refund) as long as needed for tax and accounting.
• If you ask us not to email you, we keep your address on a do-not-email list so that we honor the request.

7. Your choices and requests

You can ask to see or delete your information, or cancel a reservation, by writing to Office@clearparcels.com from the email address you used. We delete it except records we must keep for tax, accounting or legal reasons.

Some US state privacy laws give residents more rights. Based on our current size, we believe the main state laws (for example California's CCPA) do not yet apply to us, but we honor access and deletion requests from anyone.

8. Security

We limit who can access reservation data and keep it in US-based services. No method of storing or sending data is completely secure.

9. Children and where we operate

This service is for adults 18 or older and for properties in the United States. We do not knowingly collect information from anyone under 18.

10. Changes

If we change this notice, we post the new version here with a new effective date. If the change matters for an open reservation, we email you before it applies to that reservation.

ClearParcels prepares checks and checklists only and never receives, holds or pays property taxes. Your report shows what the public tax sites showed when we checked. It is not tax or legal advice.
